Booth Setup

If your company has decided to set up a booth at a trade show, you are taking advantage of an excellent opportunity to market your product to a wide audience, but if you are not familiar with the ins and outs of booth setup and dismantle, you may find that you have a lot of issues to deal with at the trade show. This article can help guide you through some of the steps you will have to take at almost any trade show to get your booth set up and dismantled. The pertinent details or special rules that apply at particular trade shows will be available at the trade show service desk, so you will want to be sure to pick up a copy once you arrive.

While you are at trade services, you will also want to pick up a copy of the work rules for that trade show. These rules determine what you can and can’t do with regard to working on your display during the show, and what things have to be installed or dismantled by the on-site trade show services team. It is absolutely necessary that these work rules be followed because if you engage in activities that are prohibited by the rules and you put attendees’ safety in jeopardy, you will be held financially liable because when you rent an exhibit space, you enter into a financial contract.

When you sign up for the trade show, you are given a target date when all the freight shipments are supposed to arrive so when you get to the trade show, all your materials should be there and should it should simply be a matter of going to drayage to arrange to have them deliver your materials to your booth. In fact, several trade shows allow you to prearrange this so that your materials can be at your booth when you arrive. Your materials will usually be crated when you arrive because this is often the only method in which freight companies will accept items. Depending on the size of your display, you may be able to open up the crate and set up your display, but if it is larger than a certain size, which is often listed in the work rules, you may need to make use of the expertise of the show’s service installers who will ensure that the display is set up in a safe manner. Installers leave the details of your display with you but can set up frames, put together pieces of modules and basically install anything that might be unsafe for inexperienced persons to try to install.

If your display is large, you will likely again have to enlist the services of installers to help you dismantle your display. Since installation and dismantling is the primary responsibility of trade show services, you can trust that they will do a responsible job in handling your trade show display with care. If there are items whose safety you feel especially worried about, you can often make arrangements to be on hand when these items are packed up for storage and transport. Cultivating a good relationship with trade show services can smooth out your trade show experience.
